The automated Portfolio sync keeps each fundraiser's Portfolio in Momentum continuously aligned with their donor assignments in your CRM, giving you a unified, up-to-date view of every assigned relationship. Momentum supports automatic Portfolio sync across Virtuous CRM+, Salesforce, and Blackbaud RE NXT. You can configure how sync behaves for your organization in Admin Settings.

Overview
The Portfolio sync automatically keeps fundraiser assignments aligned between your CRM and Momentum. For every fundraiser with a linked user, Momentum mirrors their active donor assignments by creating and maintaining a system-managed Portfolio under a Segment called CRM Assignments.
Each sync ensures that:
- New assignments in your CRM are added to the fundraiser's Portfolio.
- Assignments that no longer exist in your CRM are removed, based on your organization's configuration.
- The Portfolio always reflects the most up-to-date assignment list from your CRM.
Sync Frequency
Portfolio sync runs on the same schedule as your organization's CRM integration, ranging from every 10 minutes to nightly, depending on your configuration. Each sync performs a full refresh, re-syncing all assignments for every connected fundraiser to guarantee accuracy, even if changes occurred outside of recent cycles.
Data Mapping for Fundraiser Assignments
Different CRMs use different methods to map fundraisers to donors during Portfolio sync. To configure how your Portfolio syncs Constituents, navigate to Admin Settings from the top right menu. Here, select Fundraiser Assignments.
How the Fundraiser syncs depends on your CRM:
- Raiser's Edge: Uses the fundraiser_id to map to a constituent_id, creating a direct link between fundraisers and their constituents. Fundraiser Type syncs values to Momentum to determine solicitor assignment. Configure the Fundraiser Types to sync in Admin Settings under Fundraiser Assignments. - Salesforce: Generates assignments based on the OwnerId and AccountOwnerId fields on contacts, or, alternatively, can use Custom Fields mapped in Admin Settings under Fundraiser Assignments. To learn more about connecting Salesforce to Momentum, check out this Support Article.
- Virtuous CRM+: Syncs Organization Groups and their Contacts. You first create Organization Groups in CRM+ and assign Contacts to the appropriate group, then map each Organization Group to a fundraiser in Momentum. You can map more than one team member to the same Organization Group when multiple fundraisers share donor relationships. Portfolios update automatically in Momentum as Contacts are added to or removed from the Organization Group in CRM+. Note: Admin Settings are only available to users with Admin permissions, as these configurations affect how Momentum reflects donor data across your organization.
Additional Configuration
In addition to the Fundraiser Assignments configuration, Admin can control how the Portfolio behaves for the entire organization from the Sync & Processing section in Admin Settings.
Here, configure the following options that directly affect Portfolio sync:
- Remove unassigned constituents on sync: If a constituent's assignment is removed in your CRM during a sync, this setting also removes them from the assignee's Portfolio in Momentum.
- Auto-retry failed CRM pushes: Automatically retries failed attempts to push actions to your CRM as part of a recurring task.
- Ignore deceased constituents: Prevents Momentum from creating or maintaining fundraiser assignments for constituents marked deceased in your CRM.
Sync Requirements
Portfolio sync captures active, valid assignments from your CRM according to the following rules:
- The fundraiser must have a linked user in Momentum.
- The assignment must be currently active (not future-dated or expired).
- The donor record must exist in Momentum.
- Only mapped primary or secondary assignment types are included; unmapped types are ignored.
- Deceased constituents are excluded if your Admin has enabled Ignore deceased constituents in Admin Settings.
Assignments that no longer appear in your CRM are treated as removed and reflected in the fundraiser's Portfolio during the next sync, unless your Admin has disabled Remove unassigned constituents on sync in Admin Settings.
Troubleshooting
If a donor or assignment doesn't appear as expected in a fundraiser's Portfolio, check the following:
- The assignment type isn't mapped to a supported category.
- The assignment was removed in your CRM.
- The constituent is marked deceased in your CRM and Ignore deceased constituents is enabled in Admin Settings.
